Identify the caller’s relationship
Ask whether the caller is a tenant, prospect, vendor, visitor, or property representative. Then ask what they need. Relationship and request together determine whether the call belongs with leasing, maintenance, management, or security.
Capture the property context
Record building, suite, callback number, access limits, and timing. For a maintenance concern, preserve the caller’s description and any immediate risk. Do not promise a repair schedule or authorize work without the approved owner.
Separate urgent building concerns
Use the property’s escalation path for flooding, fire, security, access failure, or another listed emergency. Record the exact location and action taken. Keep routine requests out of the urgent path so both queues stay understandable.
Keep ownership visible
The next owner should see who called, where, why, and what remains open. Review notes for missing suite numbers and unassigned vendor calls. Clear handoffs reduce repeated explanations for tenants and staff.
