Capture access and safety details
Record the property address, contact number, affected area, pets, children, and access limits when those details affect the next visit. Do not diagnose the cause over the phone. If the caller reports a possible exposure or immediate hazard, follow the company’s approved escalation path instead of improvising advice.
Make the handoff useful
The next owner should see the caller’s request, location, timing, access notes, and promised follow-up. A message that says “bug problem” forces a second interview. A short, factual note gives the technician or office team a workable starting point.
Review missed details
Look for repeat gaps such as missing gate instructions, unclear service areas, or requests without a callback window. Update the intake fields when a missing detail changes routing. Keep the process narrow enough that callers can finish it without repeating themselves.
