Capture property and contact details
Record the service address, best callback number, current project reference when available, and preferred timing. Note whether the caller is an owner, tenant, or property representative when that changes who can approve the next step.
Keep technical answers bounded
Use approved information for routine questions. Send design, electrical, utility, warranty, and performance questions to the responsible owner. Do not estimate system output or promise an inspection before the team has reviewed the request.
Improve follow-up ownership
Review whether each note names the reason, property, owner, and next action. Missing project references and vague service descriptions are useful signals for a small change to the opening. Keep optional questions out of the call until they matter.
