State what the first lead call should achieve

The policy should fit on one page: greeting, required questions, disqualifying conditions approved by management, scheduling options, consent language, routing table, and a close that names the next action.

Publish a lead intake card

Collect caller name, company, callback number, email if offered, service sought, location or service area, desired timing, broad scope, referral source, decision-maker role, contact permission, fit status, next owner, and follow-up due time.

Ask fit questions in a natural order

Tell callers why a question matters when it may feel personal. “Which city is the work in so I can check the service area?” is clearer than a bare request for an address.

Draw a line around sales authority

The answerer may explain published services, gather fit facts, and book approved consultation slots. They may not quote custom prices, guarantee acceptance, disparage alternatives, pressure the caller, or infer budget or suitability from protected characteristics.

Create a path for unusual leads

Route conflicts of interest, media requests, legal threats, accessibility needs, and requests outside the written service area to named owners. If a caller declines qualification questions, offer the least intrusive next step rather than inventing answers.

Trial the policy across lead types

Test a clear fit ready to book, an uncertain scope, an out-of-area request, and a caller who will provide only a phone number. Check that respectful treatment does not depend on qualification outcome.

Watch quality beyond call volume

Use complete lead records, consent captured, correct disposition, consultations booked, handoffs accepted, promised follow-ups met, and duplicate leads merged. Conversion can be reviewed later by source and fit status.
