Writing a Clear Call Hold-Time Update Script
Use short, honest hold updates that explain progress, offer choices, and prevent callers from waiting without an accountable next step.
Ask before placing the caller on hold
Explain what you need to check and ask whether the caller can hold. Do not describe a wait as brief unless a real service target supports that statement. If the caller cannot hold, offer the approved callback or message path before disconnecting.
Give updates with useful choices
At the set checkpoint, return with what has happened, what remains, and the available options. A practical update is: "I am still waiting for the scheduling team. Would you prefer to keep holding, receive a callback, or leave a message for review?" Adapt the wording to the business's actual routes.
Record the selected next step
When a caller chooses a callback, confirm the number, owner, and response window. When transferring, explain whether the caller may reach voicemail and what to do if the transfer fails. Note the hold duration and outcome without blaming another team.
Review long holds and abandoned calls together. The script improves transparency, but repeated delays still require staffing, routing, or knowledge-base changes.
