Capture scheduling context
Record the requested service, preferred days, location, callback number, and referral information only when the clinic’s process requires it. Send clinical or insurance questions to the authorized owner rather than guessing.
Handle concerns within the boundary
If a caller reports a new or worsening concern, use the clinic’s approved escalation language. Record the caller’s description and the person notified. Do not diagnose, interpret symptoms, or promise a treatment response.
Review the completed note
The receiving owner needs the request, timing, contact details, and open question. Check for unnecessary health information and missing referral context. A limited, accurate note supports a better next conversation.
