Shift Operations

A Call Queue Opening Checklist for the First Shift

Start each call coverage day by checking systems, schedules, temporary notices, ownership, and unresolved work before volume arrives.

First shift call queue checklist covering systems, staffing, notices, and unresolved callbacks

Verify access and call flow

Before the queue opens, sign in to the approved phone, scheduling, CRM, and messaging systems. Place a test call through the published number and confirm the greeting, queue destination, caller ID behavior, and recording notice where applicable. Check that headsets and backup connectivity work.

Record any failure in the shared incident channel with its start time and owner. Do not wait for the first customer to discover that a published number reaches an expired message.

Review today's operating changes

Read the current staffing roster, location hours, provider or technician availability, promotions, closures, and temporary routing notices. Confirm their effective and expiration times. Remove yesterday's instructions from the active view when they no longer apply.

Scan unresolved callbacks and escalations from the prior shift. Each should show a current owner and next action. If an assigned person is absent, move the item through the documented fallback before new volume obscures it.

Confirm ownership and announce readiness

Check the primary and backup owners for urgent categories, schedule questions, complaints, and technical failures. Verify how assistants should reach them and what acknowledgment window applies. A roster without working contact paths is incomplete.

The duty lead should post a short readiness note listing successful checks, known limitations, and open incidents. Keep the checklist compact enough to complete every day. Review failures over time to identify recurring access, schedule, or handoff problems that need a permanent correction.
