Call screening
Call screening for small business teams
Use a human-friendly call screening process to identify intent, filter obvious risk, and route legitimate callers quickly.
Screen for purpose without building a wall
Create a screening card with purpose categories, minimum identity checks, approved destinations, obvious abuse or fraud signals, blocked-action rules, and a supervisor review option. Keep a public-contact route for callers who lack internal names.
Verify proportionately
Good screening protects attention while preserving access. Ask “What would you like the team to help with?” before requesting a specific employee name, because genuine callers may know the need but not the organization chart.
Use a simple routing screen
Capture call time, caller name, organization if offered, callback number, stated purpose, person or function requested, existing relationship, reference number when relevant, verification result, risk signal observed, route chosen, screen outcome, owner, and callback expectation.
Provide a path for uncertain callers
Threats use the safety path; suspected impersonation goes to security review; persistent sales calls use the vendor policy; accessibility or language needs receive an alternate route. An uncertain but plausible request becomes a callback task, not an automatic rejection.
Constrain blocking decisions
A screener may apply published routing and safety rules. They may not demand unnecessary personal data, claim an executive requested a call, judge legitimacy by accent or demeanor, reveal schedules, or permanently block a caller without authorized review.
Test legitimate and risky patterns
Test a known customer without a reference, a vendor cold call, a caller using an executive’s name, and a legitimate caller who communicates through an interpreter. Ensure each can reach an accountable next step.
Monitor access and false blocks
Track calls routed, held for review, blocked by reason, later validated, false blocks, transfer acceptance, caller repeats, and supervisor reversals. Review outcomes across call types for inconsistent treatment.
