Confirm what actually opened

Before calling anyone, verify the location, provider, appointment type, start time, expected duration, and any eligibility notes in the approved schedule. A blank space is not always interchangeable with the visit requested by the first person on a waitlist.

The practice should define who may offer the slot and whether a clinician must approve substitutions. The assistant follows that rule. They should not shorten a visit or move another patient to make the calendar fit.

Make one clear offer

Contact the next eligible patient through the permitted channel. State the exact date, time, location, and response deadline. If the practice uses a temporary hold, record when it expires. Do not tell two patients that the same appointment is reserved for each of them.

When the patient accepts, read back the details and update the scheduling system before contacting anyone else. If they decline or do not reply by the stated deadline, record the result and move to the next eligible person. Avoid sharing why the original appointment became available.

Check every calendar surface

Some practices have a clinical calendar, reminder tool, and shared call log. The confirmed patient must match across the systems that staff actually use. A note in the call log alone does not secure the appointment.

At the end of the shift, review open holds and offers without outcomes. Release expired holds according to practice policy. If two people were offered the same time, stop further messages and send the conflict to the scheduling owner for a decision.
