Event rental delivery calls that survive shift changes
A handoff routine for venue access, inventory questions, delivery windows, damage reports, and pickup changes.
Anchor the call to one order
Capture the order number, customer or planner, event date, venue name and address, on-site contact, and callback number. For multi-day or multi-room events, specify the exact delivery or pickup segment at issue.
Record access in operational terms
Ask about loading entrance, dock or elevator booking, stairs, parking restrictions, venue hours, and who can accept the goods. Put late-breaking changes in a timestamped update; do not replace the original instruction without preserving who requested the change.
Protect inventory and driver decisions
The assistant should not promise substitute stock, waive damage charges, change quantities, or redirect a driver unless an authorized owner accepts the change. “Message sent to dispatch” is not “driver rerouted.”
Read back the live state
Close with the order, venue, requested change, current delivery or pickup state, next owner, and expected update channel. This compact handoff reduces repeat calls when the office and field team are both moving quickly.
