Maintaining Call Coverage During an Internet Outage
Prepare a limited outage routine for call routing, safe note capture, status updates, and reconciliation after normal systems return.
Decide what service remains available
Document which calls can move to a backup line, which actions require unavailable systems, and which sensitive requests must wait. The outage message should state the service limitation and an honest next step without exposing security or infrastructure details.
Use the minimum approved fallback record
If the business permits offline or alternate capture, record only the fields needed to restore the case: time, caller name, safe callback details, intent, urgency category, and owner. Do not collect payment information, credentials, or sensitive case details in personal notes or unapproved messaging apps.
Reconcile when systems return
Assign one coordinator to enter fallback records, check duplicates, preserve original timestamps, and mark each callback complete. Notify callers whose promised windows changed. Keep a count of calls diverted, lost, delayed, and reconciled.
Run a short drill before an outage occurs. Verify that backup routing, contact lists, access, and ownership still work, then record corrections with an owner and due date.
