Recovery scripts

A missed call recovery script that sounds human

Write a missed call recovery script that acknowledges the gap, invites the caller's reason, and sets a realistic next action.

Open without sounding defensive

Pair the spoken script with a recovery log. Suggested opening: “Hello, this is [name] returning your call to [business]. I am sorry we missed you. Is now a good time, and what can I help route today?”

Use a two-part recovery record

Log original call time, return attempt time, caller name, number dialed, permission to continue, reason for calling, current status, urgency in the caller’s words, action requested, assigned owner, promised window, attempt result, next attempt, and stop request.

Promise only the next controllable step

The caller may be frustrated, but the assistant should not invent an explanation for the missed call, guarantee availability, diagnose urgency, or offer unapproved compensation. The assistant may apologize for the gap and organize the next step.

Discover whether the need changed

After the reason is known, reflect it in one sentence and state the next owner. A concise close sounds more human than reading a long apology or sales pitch.

Deal with repeat attempts and urgent claims

If the number reaches a different person, reveal only the business name and a neutral callback request. Safety threats use the emergency instruction; repeated unanswered attempts follow the stated attempt limit; a do-not-call request closes outreach immediately.

Measure recovered outcomes

Monitor return attempts made within the approved window, contact rate, resolved or owned outcomes, repeat missed calls, promises kept, and stop requests honored. Avoid treating every unanswered return attempt as a recovered call.

Rehearse four return-call situations

Role-play a caller who already hired someone else, a voicemail-only number, an urgent safety statement, and an existing customer with two prior attempts. Confirm that each case ends in a clear status.
