Scheduling

Escalating a Schedule Overbooking Without Guesswork

Handle overlapping appointments with a factual conflict record, protected customer choices, and one authorized scheduling decision owner.

Verify the conflict before changing anything

Check the appointment date, time zone, location, service, duration, assigned resource, and status. Look for linked or blocked calendar time. Do not cancel, move, or disclose another customer's appointment while diagnosing the overlap.

Send the decision owner a complete record

Capture when each appointment was created, the applicable booking rule, caller constraints, and the earliest safe contact window. Keep assumptions out of the note. The authorized scheduler decides priority, accommodations, and any exception.

Communicate choices without assigning blame

Use approved recovery options and let the customer choose when a choice exists. Confirm the final time, location, preparation, and compensation language exactly as authorized. Record the decision owner and customer response.

After resolution, classify the cause as a rule gap, synchronization delay, manual override, duration error, or another defined type. Fix the source of the conflict instead of relying only on staff reminders.
