Set review times and one duty owner

A shared mailbox needs an explicit duty schedule. Assign one person or queue to review messages at defined times, including opening, midday, closing, and any approved after-hours interval. Publish the backup owner for absences. "Everyone watches it" is not a reliable ownership model.

The duty owner should first check system timestamps and duplicate notifications before creating work. A voicemail may already have produced a missed-call task or a direct callback from another team.

Convert each message into visible work

Capture the caller's stated name, callback number, reason for calling, time sensitivity in their own words, and any safe contact preference. Apply a consistent status such as new, assigned, callback attempted, waiting on caller, resolved, or duplicate. Do not leave the only useful context inside an audio file.

Assign the item to the correct destination with a due time based on the approved service rule. If the message is unclear, preserve that uncertainty and route it for clarification rather than guessing at a sensitive category.

Reconcile the box before handoff

At each shift change, compare voicemail messages with the work queue. Every message should have a corresponding status or a documented reason for exclusion, such as spam or a verified duplicate. The outgoing owner should highlight overdue callbacks and system problems.

Delete recordings according to the business's retention policy, not personal preference. Weekly review should focus on aged items, repeated callers, duplicate creation, and messages that could not be routed. Those patterns reveal whether the schedule, greeting, or category map needs improvement.
