Reassigning a Call Queue During an Unexpected Staff Absence
Keep calls owned during an absence by transferring capacity, access, active promises, and exception responsibilities explicitly.
Assess the queue before moving it
Count waiting calls, scheduled callbacks, open messages, priority items, and approaching deadlines. Identify duties tied to the absent person's authority or specialized access. Moving a queue name alone does not transfer every obligation inside it.
Assign primary and backup coverage
Name the temporary owner, coverage window, backup, and escalation contact. Confirm the owner can see the queue, use the required systems, and complete the approved actions. Keep least-privilege rules in place instead of sharing credentials.
Reconcile promises at handback
Tell temporary owners which callbacks were already promised and which callers need an update. At the end of coverage, review completed, pending, overdue, and escalated items with the returning owner or manager. Record any temporary access that must be removed.
Track queue age during the absence and compare it with normal periods. This shows whether the backup capacity and handoff routine were sufficient without judging performance from raw call counts alone.
