Handoffs

A virtual receptionist handoff checklist

Use a handoff checklist that transfers caller context, promised action, deadline, and ownership without making the caller repeat details.

Make acceptance part of the handoff

Use a handoff card that stays open until the receiver accepts it. Its status should move through prepared, sent, accepted, completed, or returned, with a timestamp at each transition.

Recover a refused or failed handoff

For a failed transfer, return to the caller before disconnecting and offer the approved fallback. If the receiver rejects the handoff, keep the original owner visible, record the reason, and route to the designated supervisor rather than bouncing the caller.

Use a compact handoff card

Capture caller name, callback number, organization, purpose, account or job reference, key facts, requested action, urgency signal, action already taken, promise made, receiving person or queue, due time, acceptance time, and fallback owner.

Limit what the receptionist can commit

A receptionist may select an approved destination, introduce a warm transfer, and set a documented callback expectation. They may not promise a decision, bypass privacy checks, transfer to a private number without permission, or mark work complete for the receiver.

Choose warm or queued delivery

A handoff is not complete when the receptionist presses transfer. It is complete when another owner has accepted the context or the fallback task is visible and due.

Run acceptance drills

Test a live transfer accepted immediately, a no-answer destination, a receiver who says the issue belongs elsewhere, and a caller who disconnects mid-transfer. The checklist should preserve ownership in all four.

Review handoff health

Track accepted handoffs, failed transfers, returned items, callbacks within the promised window, caller repeats, and unowned records. Review both speed and whether the receiving team had enough context.
