Schedule exception escalation study
A workflow review for measuring whether booking exceptions reach authorized owners with enough context for a timely decision.
Research question
Which scheduling exceptions are resolved at the approved level, and where do requests stall, bounce between owners, or produce inconsistent decisions? The review focuses on the path from detection to communicated outcome.
Method
Sample overbookings, linked appointments, timing overrides, deposit questions, accessibility requests, and other defined exception types. Capture detection time, required fields, initial route, owner acceptance, requests for more information, decision, caller notification, and final calendar state.
Measures and interpretation
- Report context completeness at first handoff and time to owner acknowledgment and decision.
- Count reassignments and distinguish valid specialist routing from avoidable bouncing.
- Compare the final decision with the authority matrix active on that date.
Faster decisions are not automatically better when essential context or customer choice is missing. Review accuracy, accessibility, calendar integrity, and repeat contacts with speed. Aggregate sensitive or low-volume categories.
Operating response
Use frequent missing fields to improve the intake template. Clarify overlapping authority and add backup ownership for unattended windows. Recheck the same measures after the process change without altering the original sample.
