Generator Service Calls
A service-call checklist for commercial generator maintenance
Capture equipment, site access, operating state, and maintenance-request details while reserving technical and safety decisions for qualified staff.
Locate the unit and contract
Record the organization, service address, site contact, callback number, generator identifier, manufacturer or model if known, and maintenance-agreement number. Confirm which building or enclosure is involved when a campus has several units.
Distinguish routine work from a fault
Label the request as preventive maintenance, inspection follow-up, exercise-test issue, alarm report, fuel request, or outage-related call. Capture indicator text exactly. Do not advise the caller to open panels, reset equipment, handle fuel, or bypass a safety control.
Apply the documented escalation table
Commercial sites may have life-safety, healthcare, refrigeration, or continuity concerns. Record whether utility power is out and whether the caller reports the generator running, stopped, or unknown. Dispatch priority and safe-site instructions must come from the company's authorized technical process.
Prepare the technician handoff
Include access hours, gate or escort requirements, parking limits, contact-on-arrival instructions, and known prior visits. Close by stating whether the request is logged, awaiting dispatch review, or scheduled. Never turn a requested arrival time into a promise.
