How to route a commercial inspection report status call
Give callers a useful status update without interpreting findings, changing recipients, or promising a delivery time that has not been approved.
Identify the job
Collect the job number, property address, inspection type and date, caller company, callback information, and the inspector's name if known. Confirm the authorized report recipient in the job record before sharing status or delivery details.
Use a short status vocabulary
Choose the approved state shown in the system, such as scheduled, fieldwork complete, awaiting documents, under review, issued, or revision requested. Record which missing item or revision the caller asks about. Do not translate a status into a technical conclusion.
Protect the inspection boundary
Phone assistants should not interpret observations, say a property passed, rank the severity of a finding, or change a distribution list without authorization. Direct technical questions to the inspector and contractual questions to the project owner.
State what happens next
Read back the job, current recorded status, requested action, and callback number. Give a delivery estimate only when it appears in an approved field. Otherwise, name the reviewer who will respond and the normal response window.
