Gather project, load, site, schedule, and contact facts without selecting equipment, approving a lift, or promising availability.
Establish the project record
Capture company, requester, callback and email, jobsite address, project reference, requested date and working window. Ask whether this is a new request, a change, or a call about an existing quote so parallel records do not develop.
Document the stated load and site facts
Record the caller's description of the item, stated weight and dimensions, pick and set locations, building or terrain notes, access restrictions, and known overhead or underground concerns. Attribute measurements to the caller or supplied document; never treat an estimate as verified.
Reserve planning for qualified personnel
Crane type, capacity, configuration, rigging, permits, ground conditions, clearances, and lift-plan approval belong to authorized specialists. The intake agent should not recommend equipment or tell a caller that a lift is feasible based on a phone description.
Close as a request, not a reservation
Summarize the project, source of load details, requested timing, documents available, and missing facts. Name the estimator or planning queue that will review it. Price, availability, mobilization, and schedule remain unconfirmed until that team responds.
