A warm transfer introduces the caller to the next person with context already in hand. Done well, it removes repetition and reduces the chance that the caller gives up. Done badly, it is a longer hold with two people guessing.

The difference is a short, consistent handoff.

Confirm the transfer is appropriate

Before transferring, confirm that the receiving person or queue handles the issue, is available, and has the authority to help. A transfer to a voicemail box is not a warm transfer.

If no one is available, offer a callback with a time. Do not send the caller to a general line and hope.

Pass five facts

Give the receiver the caller's name, the reason for the call, what has already been checked, the account or order reference, and the caller's expectation. Add any urgent constraint, such as a scheduled delivery or a safety concern.

Keep it factual. Do not add a diagnosis or a promise the receiver has not agreed to.

Introduce, then hand off

Tell the caller who they are speaking to and why. Confirm the caller is willing to continue. Then brief the receiver briefly and stay on the line until the receiver acknowledges.

If the receiver cannot take the call, return to the caller with a new option rather than leaving them in silence.

Record the handoff

Note the time, the receiver, the facts passed, and the outcome. If the call drops during transfer, the note tells the next person what happened.

Review failed transfers

Track transfers that return to the queue, drop, or require a second callback. Those cases show whether the routing rules, the receiver availability, or the handoff script needs work.

A warm transfer is a small service moment. Its reliability depends on a checklist that everyone uses the same way.
