Event Venue Calls
A phone routine for wedding venue weather questions
Help venue assistants sort forecast concerns, indoor backup questions, and vendor calls without changing the event plan.
Locate the event record
Ask for the couple's names, event date, caller's role, callback number, and the space involved. A planner, caterer, guest, and member of the wedding party may each need a different destination. Do not disclose private schedule or contact details until the caller fits the venue's verification rule.
Separate a question from a change request
Label the call as a forecast concern, indoor backup question, vendor setup issue, guest-access question, or request to activate the contingency plan. Record the weather source and timing only if the caller provides them. The venue's authorized event manager decides whether the plan changes.
Preserve contract boundaries
Use approved language for included spaces, decision deadlines, fees, and vendor access. Do not interpret the agreement, waive a charge, or promise that another room is available. Send unresolved terms to the event manager with the caller's requested decision time.
Confirm the next contact
Read back the event, request, callback details, and stated deadline. Tell the caller who will respond and within what approved window. If conditions create an immediate safety concern on site, use the venue's emergency contact route rather than the ordinary event queue.
